How can I tell how many emails my board sends per month?

Post by Jobertim » Thu Dec 06, 2018 12:47 pm

I have been getting too many reports of members of my forum not receiving notification emails. Sometimes the notifications land in their spam box, sometimes they never reach them at all. I'm getting concerned that the emails are filtered out by spam filters somewhere along the path.

I'm considering using a dedicated email service as recommended by the makers of Discourse: https://github.com/discourse/discourse/ ... L-email.md

How can I tell how many emails my board sends per month?

Thank you!

That is highly depending on the settings, amount of members and how active the are.

So it is impossible to give your a number of mails that will be send.

But on a good server with the right settings there is nu need to use a other service to send the mails.
Did you use mail-tester.com to see if your settings are OK?
Sorry! My English is bat ;) !!!

Thank you for your response. So there's no mail counter anywhere that can display how many emails the board has sent? In the phpBB software, in the database, or in my host's control panel?

Running a test now on mail-tester, and I got 10/10 so no issues on that front. I also double checked that my domain name is not blacklisted.

Ok I changed my SMTP settings in phpBB to send secure emails. Just ran a test and it worked. Had the board send a notification email to mail-tester and got a 10/10 as well.

My hopes are up. I'm going to keep using my forum like this for a while and see if the reports that the notifications aren't landing in members' inboxes fade out or stop.

Thank you!

There are two other factors to bear in mind.

1 - Your host may have a limit on the number of emails that can be sent either by hour and/or by day.

2 - If the emails are being treated as spam due to the content, and I know for a fact that some mail servers have been known to do that, then running your mail through a dedicated mail server will probably make no difference.

SMTP isn't always necessary and can cause issues itself, have a look at Knowledge Base - EMAIL - Easy setup (NOT SMTP)

There are no ‘threads’ in phpBB, they are topics.

When I do that, the board uses the php "Mail" function, correct? For some clients (like gmail for example) that goes straight to spam box, whereas SMTP works.

So this is a widespread issue and nobody really has a reliable solution? I keep seeing email services talk about "deliverability" so I guess it's a widespread issue. Does every board out there have members that complain that they're not receiving notifications?

On your forum create an account with the email provided by this testing service: https://www.mail-tester.com/ Then see what they tell you about it.

You will never get perfect score on this but you want to pay particular attention to any warnings about reverse DNS, blacklists or SPF. It's quite likely the SPF record is not set up correctly, having that record set up correctly makes email much more deliverable.
